Buying and pricing

How much does HosPortal cost?

HosPortal’s Standard plan is $200 per user per year for departments of up to 250 users, with setup, hosting, support and an SMS allowance included. The AI rostering module is an optional $80 per user per year. Pricing is for Australia and New Zealand; other regions are quoted on request.

What counts as a user for pricing?

A user (a “profile”) is anyone who either logs in to HosPortal or is placed on a roster. Administrators, consultants, trainees and locums each count once.

Is there a minimum contract term or a trial?

HosPortal is typically an annual subscription paid in advance, but terms are flexible: shorter periods, staged rollouts and pilot departments can all be arranged. Talk to us about what suits your department.

Does HosPortal charge for implementation or training?

No. Setup, roster template building, onboarding and training are included in the plan. There are no implementation fees.

Who uses HosPortal?

More than 100 hospital departments and 11,000 clinicians across Australia and New Zealand roster with HosPortal, including teams at Royal Prince Alfred Hospital, Royal Adelaide Hospital, Royal Hobart Hospital, St George Public and Private Hospitals and Kareena Private Hospital, spanning anaesthesia, emergency, ICU, radiology, surgery, general medicine and JMO units.

How is HosPortal different from rostering in Excel or a general workforce system?

HosPortal is built for medical rosters: it models on-call, supervision ratios, clinical competencies, terms and rotations, and enforces award and fatigue rules while the roster is being built rather than after. General HR and payroll systems roster shifts but do not understand clinical cover, and spreadsheets cannot enforce rules or let staff swap and self-roster.

Security and data

Where is HosPortal data hosted?

HosPortal is hosted on Amazon Web Services in Sydney, Australia. It is a fully managed cloud platform with daily backups and 99.9% uptime, so hospital IT teams have nothing to install or maintain.

Is HosPortal compliant with Australian health data and privacy requirements?

HosPortal complies with the Australian Privacy Act and the Australian Privacy Principles, stores all data in Australia, and undergoes independent penetration testing every two years. Contact details can be masked, access is role-based, and every roster change is audit-logged.

Does HosPortal support single sign-on and multi-factor authentication?

Yes. HosPortal supports single sign-on via SAML, including Microsoft Entra ID (Azure AD), and multi-factor authentication is available to every user.

Can hospital staff see each other’s contact details?

Administrators choose. Mobile numbers and email addresses can be masked site-wide or for specific users, while HosPortal still delivers SMS and direct messages to them.

Does HosPortal integrate with payroll?

HosPortal timesheets capture shift times, breaks, callbacks and overtime, apply award rules, and export in a template matched to your payroll software, so approved hours flow to payroll without re-keying.

Can HosPortal build rosters automatically?

Yes. The AI module scores thousands of roster combinations per second against your work rules, staff preferences and repeating patterns, and returns the highest-scoring roster for review before publishing.

Can staff swap shifts themselves?

Yes. Staff can offer shifts on the Market, take vacant shifts, or arrange swaps and gifts directly, within rules the department sets. Administrators preview and approve where required.

Does HosPortal enforce award and fatigue rules?

Yes. Work Rules and Shift Conflict Rules define limits such as maximum weekly hours, minimum rest between shifts and recovery days after nights, and HosPortal flags any breach while the roster is being built.

Does HosPortal work on a phone, and does it sync with my calendar?

Yes. HosPortal has native apps for iOS and Android as well as a full web version, and every user can subscribe their shifts to Outlook, Google, iOS or Android calendars via iCal.

Can I connect an AI assistant to HosPortal?

Yes. HosPortal provides a standard Model Context Protocol (MCP) connector, generally available to customers, so any MCP-capable assistant such as Claude or ChatGPT can query rosters, leave and staff data on your behalf within your permissions.

Implementation and support

How long does it take to set up HosPortal for a department?

Most departments are live in four to eight weeks, and some in as little as two. The pace depends mainly on how quickly the department can supply its staff list, roster patterns and rules; HosPortal manages the process through its dedicated onboarding tool, LaunchBay.

What support is included?

Live chat and a help centre for all users, plus phone and videoconference support for new customers during setup. Support runs 6am to midnight AEST, with a typical first response under 10 minutes and resolution under two hours. Product updates ship continuously with no downtime and no upgrade fee.
